What to look for in a virtual office

Virtual office providers can look quite similar at first glance. Set-up fees, mail scanning, contract terms and how you manage your account can all make a difference once you're up and running.

How does a virtual office work for an online business?

Choose your address and use it as your business trading address. When post arrives for you, we’ll scan it so you can access it without needing to travel to the office.

You get 10 free mail scans each month as standard, and you can manage your address, post and subscription through your Virtually There Portal.

So whether you’re running your store from home, a warehouse, a shared workspace or somewhere further afield, your business post doesn’t have to follow you around.

Need an address to register with Companies House too?

If you run your online business as a limited company, you’ll also need a registered office address for Companies House.

Add our Registered Office Address service to your Virtual Office and you can use the same professional location for official Companies House and HMRC correspondence, rather than putting your home address on the public register.

Keep your home address private

Running a business from home is perfectly normal. Putting your home address everywhere your business appears is another matter.

A virtual office gives you a separate business address to use across your website, invoices and day-to-day business communications, helping you keep a clearer line between home and work.

And if you’re a limited company, you can add our Registered Office Address service so your home address doesn’t have to be your company’s registered office either.

Your mail is handled securely and made available to you through your Virtually There Portal.

Virtually There Customer Portal

Which address does your online business actually need?

Business or trading address

The address you use for the day-to-day side of your business — for example on your website, invoices and business communications. This is where a Virtually There Virtual Office comes in.

Registered office address

If you have a UK limited company, this is its official Companies House address. It’s publicly available and is where official Companies House and HMRC correspondence is sent. You’ll need our Registered Office Address service add-on to your package if you want to use your Virtually There location for this.

Returns address

This is the address customers use to send products back to you. A Virtually There virtual office cannot be used for parcel deliveries, customer returns or parcel collections, so you’ll need a separate returns address if your business sells physical products.

Selling through a marketplace?

Amazon, eBay and other platforms set their own business-address and verification requirements. Check the latest requirements for the platform you use before deciding which address to provide.

Ready to get started?

Choose your virtual office and complete your checks. We’ll take care of your post while you manage everything online:

  • Select your Virtual Office package
  • Access your Customer Portal
  • Manage your virtual office services and account online
  • Stay connected wherever you work

FAQs to help you choose

Can I use my virtual office as a returns address?

No. Virtually There addresses are for business mail and cannot be used for parcel deliveries, customer returns or parcel collections.

If your online business sells physical products, you’ll need to arrange a separate returns address for customer orders.

How is my post handled?

We’ll receive post sent to your Virtual Office address and make scanned mail available through your Portal. Your subscription includes 10 free mail scans each month, with additional scans available when you need them. Companies House and HMRC post can only be processed if you have a Registered Office Address service.

Do I need to be a limited company to use a virtual office?

No. Sole traders can use a Virtual Office address on invoices, contracts and their website. The Registered Office Address add-on is only relevant if you’re set up as a limited company.

Can I keep my home address private when running an online business?

A Virtual Office gives you a separate business trading address, so you don’t have to use your home address across everyday business communications.

If you have a limited company, adding our Registered Office Address service also allows you to use your Virtually There location as your company’s registered office.
